3.8. Email Templates

To set up and manage email templates in Nexved CRM, follow these steps:

Setting Up Email Templates

  1. Navigate to: Setup -> Email Templates.

  2. You can edit and change the content of the existing email templates according to your needs. These templates can be used for various actions such as sending invoices, estimates, proposals, and notifications.

Company Email Signature

  • You can set up a general email signature for your company that will be used in all outgoing emails. To configure this, go to:
    Setup -> Settings -> Email.

  • The signature will be automatically applied to all emails sent from your CRM.

General Email Configuration

  • All email templates will be sent from the general email address configured in the system. This can be set in:
    Setup -> Settings -> Email.

Multi-Language Support for Email Templates

Nexved CRM supports multi-language email templates, which allows you to send emails in different languages based on customer or staff preferences.

  • Customer 1 has English as their preferred language, and Customer 2 has Dutch as their language.

    • When sending an email to Customer 1, the English email template will be used.

    • When sending an email to Customer 2, the Dutch email template will be used.

The same applies to staff members:

  • If a staff member's preferred language is set to Dutch, the Dutch version of the template will be sent.

Default System Language for Emails

  • When sending email templates to leads (e.g., proposals), the default system language will be used.

  • If the content of a template is empty for a particular language, Nexved CRM will fall back to the default system language (set in Setup -> Settings -> Localization).

  • Make sure the default system language template is always populated to avoid empty content being sent.

Managing Multiple Languages in Templates

  • When editing a specific email template, the system will automatically display all the languages used across the system based on the preferences of both staff and customers.

  • You can select the language you want to edit, and each language's template content can be adjusted individually.

Disabling Email Templates

  • To disable an email template, open the template you wish to disable and check the Disabled box.

  • Once disabled, this email template will never be sent.

Example:

If you want to disable the welcome email (New Customer Added/Registered), follow these steps:

  1. Navigate to Setup -> Email Templates.

  2. Find the template named New Customer Added/Registered (Welcome Email).

  3. Check the Disabled box and save the changes.

This will prevent the welcome email from being sent when a new customer is added.
